Welcome! In this quick guide, we will show you how to easily import multiple donor records — all in a few simple steps. Let’s get started.

Step 1. Navigate to the Import Donor Section.

First, from your Dashboard, head to the menu on the left. Click on “Donors” to access the drop-down, scroll down and select “Import Donor.” This will take you to the import area, where you can find the steps to begin the process.

Step 2. Download the Excel Template.

This file includes everything you need to get started — including instructions to assist you in completing the information. Take a moment to read through those instructions before entering any data — it will help you avoid common errors during the import process.

Step 3. Input your Donor Information.

Enter your donor information in Sheet 1 of the Excel import template. When you're done, save the file in Excel format — that’s the .xlsx file type. Important: Do not delete the Guideline sheet or rename it.

If you're using Windows, simply use “Save As” and choose a location on your computer to save the file as .xlsx.

If you're on a Mac, go to File > Export To > Excel, and be sure to uncheck the box that says “Include summary worksheet” when prompted. Do not save the file in Numbers format — it won’t work.`

Step 4. Upload Your File.

Once your donor data is completed and saved, navigate back to the platform and Click on the "Start Import Process” function. You will be taken to the import window, where you can click to upload the completed Excel import file.

Step 5. Preview and Confirm.

After the upload, you will see a preview of your donor data. Check that all your columns’ data are correctly matched to the appropriate headers. If everything checks out, go ahead and click “Next” to continue. If not, you can pause here and update your Excel file, or re-map the columns.

Step 6. Complete the Import.

Once confirmed, the result of the Import will be shown, detailing donors which have been imported. You may choose to edit or amend the donor details or click "Next" to amend at a later stage. And that’s it! Your donor records are now securely stored in your organisation’s profile.

Now that you've successfully imported your donor information, you can view your full import history, and update donor details at any time by editing individual profiles directly.
